Terms of Service

Welcome to RPlan (“RPlan”, “we”, “our”, or “us”). These Terms of Use (“Terms”) govern your access to and use of our website and related services (the “Service”).

By using RPlan, you agree to be bound by these Terms. If you do not agree, please do not use the Service.

1. Use of the Service

RPlan is an online trip planning tool designed to let you plan trips exactly how you want to, and with minimal effort. You may use the Service for lawful purposes only and in accordance with these Terms.

You are responsible for maintaining the confidentiality of your account credentials and for all activity under your account.

Some features of the Service allow you to share trip data with others, either via an access code protected public page or inviting specific people to collaborate. You are solely responsible for the content you choose to share and for who you share it with.

2. Acceptable Use Policy

You agree not to use the Service to create, store, share, or distribute (including via an access code protected public page or inviting specific people to collaborate) any content that:

Is illegal, or promotes, facilitates, or instructs on illegal activity, under the laws of England and Wales or of the jurisdiction in which you or your recipients are located;
Infringes or misappropriates the intellectual property, copyright, trademark, or other proprietary rights of any third party, including pirated software, media, or other unlicensed copyrighted works;
Constitutes child sexual abuse material, or otherwise sexually exploits or endangers minors;
Is defamatory, harassing, threatening, abusive, or intended to intimidate, stalk, or incite violence against any person or group;
Contains malware, phishing content, or is otherwise intended to compromise the security or integrity of any system or account;
Is used to distribute spam, or to impersonate any person, organisation, or entity in a misleading or deceptive manner; or
Violates the privacy of any individual, including by sharing another person's personal or sensitive information without their consent.

We do not actively monitor the private contents of trips. However, where we are made aware of content that is in breach of these terms, we reserve the right to review, disable sharing on, or remove that content, and to suspend or terminate the responsible account.

3. Data Storage and Availability

RPlan saves your content to online storage systems. RPlan will protect the contents of trips, places, packing and all other user data from unauthorized use, access, or disclosure in the same manner that we would use to protect our own confidential information of a similar nature and in no event with less than a reasonable degree of care.

The Service is provided on a “best effort” basis and may experience downtime, interruptions on occasion.

3.1. Access

You control access to the content of your trips. RPlan considers the contents of user accounts to be confidential to you, as set forth in Section 3, and RPlan personnel will not access user account data without your consent except in the following circumstances:

to assist the account owner with a support matter (with their explicit consent); or
to comply with our legal obligations if we have reason to believe the contents are in violation of the law.

4. No Liability for Data Loss

By using RPlan, you acknowledge and agree that:

The creator and operators of RPlan are not responsible or liable for any loss, corruption, or unavailability of data.
You are solely responsible for maintaining your own backups of any information you consider important.
The Service is provided “as is” and “as available”, without any warranty of any kind.

5. Disclaimer of Warranties

To the fullest extent permitted by law, RPlan disclaims all warranties, express or implied, including but not limited to implied warranties of merchantability, fitness for a particular purpose, and non‑infringement.

We do not warrant that the Service will be uninterrupted, secure, or error‑free.

6. Limitation of Liability

To the maximum extent permitted under UK law, RPlan and its creator(s) shall not be liable for any direct, indirect, incidental, consequential, or special damages arising out of or in connection with your use of (or inability to use) the Service, including, without limitation, any loss of data, profits, or business opportunities.

Nothing in these Terms excludes or limits liability that cannot be excluded under applicable law, such as liability for death or personal injury caused by negligence.

7. Modifications to the Service or Terms

We may modify, update, or discontinue any part of the Service at any time, with or without notice.

We may also revise these Terms periodically. The updated Terms will take effect immediately upon posting. Continued use of the Service constitutes your acceptance of the revised Terms.

8. Termination

We reserve the right to suspend or terminate access to the Service at any time, for any reason, without prior notice or liability. This includes, without limitation, disabling public share pages or suspending accounts found to be in breach of our Acceptable Use Policy.

10. Governing Law

These Terms and any dispute or claim arising from them (including non‑contractual disputes) shall be governed by and construed in accordance with the laws of England and Wales.

If you access RPlan from outside the UK, you are responsible for complying with local laws where applicable.

11. Third-Party Services

6.1 Mapping (OpenStreetMap via OpenFreeMap and MapTiler). Maps displayed within RPlan are rendered client-side using the open-source Leaflet and MapLibre libraries, using map tiles provided by OpenFreeMap, built on OpenStreetMap data made available under the Open Database License (ODbL). Satellite imagery on shared trip pages is provided by MapTiler. Attribution (OpenFreeMap, © OpenMapTiles, © OpenStreetMap contributors, or © MapTiler for satellite imagery) is displayed directly on the map, alongside credit to the Leaflet library.

6.2 Google Maps Services. RPlan uses Google's Geocoding/Places API, via RPlan's own server and API key, to resolve place names you search for within the app into locations. Only the search text you enter is sent for this purpose; your personal identifiers are not included in this request. This is subject to the Google Maps Platform Terms of Service.

RPlan also provides links that take you directly to Google Maps for directions or additional context. These are ordinary hyperlinks to Google's own website; once you click through, your use of Google Maps is governed entirely by Google's own terms and privacy policy, not by RPlan.

6.3 AI Assistant (OpenAI). RPlan Pro includes an optional AI assistant that suggests changes to your trips (for example, checklist or packing items). When you use it, a snapshot of the relevant trip data (such as plan labels, checklist items, and packing item names) is sent to OpenAI via RPlan's own server and API key so that a suggestion can be generated. The assistant only ever proposes changes; nothing is added to your trip unless you choose to apply a suggestion. The assistant is off-limits to free accounts and can be turned off per account at any time in your settings. Your use of AI-generated suggestions is at your own discretion, and RPlan does not warrant their accuracy. This feature is subject to OpenAI's applicable terms.

6.4 Other Third Parties. The Service may link to or integrate with other third-party websites, APIs, or services (see the About page for a full list of software used). We do not control and are not responsible for the content, policies, or practices of any third party.
